Business Support Assistant

Location: Monmouthshire NP15 1GA
Hours: 29.5 hours per week
Work Pattern: Tuesday to Thursday, 9:00am – 5:00pm; Friday, 9:00am – 4:30pm
Contract: 7-Month Initial Contract

About the Role: Monmouthshire County Council is seeking a proactive and detail-oriented Business Support Assistant to provide high-quality administrative and financial support to our Social Work teams. This role is integral to the smooth running of essential services, supporting professionals working with children and families across the county.

Key Responsibilities: Administration:

  • Manage incoming and outgoing correspondence, including letters, emails, mail merges, and verbal communications.
  • Accurately file and store both paper and electronic notes and records.
  • Collect and provide data for Data Protection Subject Access Requests (DSARs).
  • Take minutes for strategy and other key meetings (occasional travel across/outside the county may be required).
  • Perform general administrative tasks such as photocopying, scanning, printing, room bookings, and booking transport/hotels.
  • Assist in updating and validating databases during system transitions.
  • Schedule and book meetings, manage diaries, and distribute meeting invites and minutes.
  • Maintain office supplies and monitor stock control (e.g., stationery).
  • Conduct timely file audits to ensure child files contain required documentation before team transfers.
  • Complete ad hoc administrative tasks as required to meet service needs.

Finance:

  • Manage petty cash and maintain accurate transaction records in line with process guidelines.
  • Monitor and record cash expenditure across the service.
  • Support colleagues in monitoring and validating financial information (e.g., Financial Schedules).
  • Follow invoice and supplier processes, including arranging purchase orders and supplier contracts.
  • Liaise with Finance and suppliers to ensure smooth account set-up and prompt payment of invoices.
  • Process purchase card transactions and receipts in coordination with card holders and budget authorisers.
  • Escalate any financial concerns to the Business Support Manager.

What We’re Looking For: We’re looking for someone who is organised, efficient, and able to work both independently and as part of a team. You’ll need excellent communication and IT skills, a good understanding of confidentiality, and ideally some experience in an administrative role within a social care or public sector setting.
